139 questions an agency may ask, with their answers. Type what you are looking for or pick a topic.
1. Getting started
Is there a free trial? Will my card be charged?
You can try it free for 14 days. Your card is only verified; the first payment is taken when the trial ends. Cancel before then and you pay nothing.
When will my site be ready?
Right after you sign up. Setup takes under a minute; the link to set your password appears on screen and in your e-mail.
Does my site go public straight away?
No. Until you finish the steps in the “Before you go live” list on the Overview page and press “Open the site”, visitors see a “Coming soon” page.
What do I need to do on the first day?
Add your company details, logo and colours, the modules you sell, a payment method, your e-mail settings and your first products. The list on the Overview page shows the order; click any item to open the page you need.
Do I have to enter the tours from my current site one by one?
No. Products → Tours → “Import from your current site” brings your tours over as drafts with their name, description, price and photos. You confirm the site is yours with a code sent to your e-mail. It works best with WordPress sites.
Can I use my own domain?
Yes. Add your domain under Settings → Domains and enter the DNS records shown on screen in your domain provider’s panel. The SSL certificate is issued automatically. Until then, your site runs on the free address you were given.
Which languages is the panel in?
Eight: Turkish, English, German, French, Spanish, Italian, Portuguese and Danish. Each user picks their own language at the bottom of the menu.
Where do I look when I get stuck?
The “How to” button at the top right of every page opens a short training video for that page. All 20 videos are under Help → User guide. If you still can’t solve it, write to us from Help → Platform support.
Is there an example I can try before buying?
Yes. At demo.acentesitem.com a sample agency site and its panel are open to everyone; make a booking with a test card and see how it shows up in the panel.
2. Products and modules
What can I sell?
There are 12 modules: tours, transfers, hotels, villas / bungalows, boat rental, car rental, visas, flight tickets, events and tickets, gift vouchers, requests and other services. In the 3 Modules package you turn on any three; in the other packages, all of them.
If I turn a module off, are my products deleted?
No. A module you turn off disappears from the site and the menus, but its products stay where they are. Turn it back on and everything returns.
What is the difference between a day tour and a package tour?
You add both on the same Tours page; the difference is the “Multi-day tour with nights” switch in the tour form.
| Day tour | Package tour (with accommodation) | |
|---|---|---|
| How the customer picks a date | From the calendar, any day the tour runs | From the list of departure dates you enter |
| Price | Per person, per group, per vehicle or per hour | Per person by room type (single, double, triple room) |
| Capacity | How many groups you take per day | Seats on each departure date |
| Extra options | Extras (e.g. hotel pickup) | Hotel choice, departure point, extra nights |
| Cancellation | The customer can cancel on their own within the free cancellation period | After payment, you cancel (under the contract terms) |
| Documents | Voucher | Voucher, pre-information form and package tour contract |
How do I add a tour?
Products → Tours → “Add new”. Enter the title, category, duration, short and long description, meeting point, itinerary and price, then press “Save as draft”. Then upload the photos and press “Publish”.
What does “draft” mean?
A product in draft does not show on the site. When it is ready, “Publish” puts it on sale; you can take it off sale at any time with “Unpublish”.
Can I leave the price off the site and say “write to us for a price”?
Yes. Choose “On request” as the pricing type and the customer sends a request instead of paying. You add a price to the request in the panel and send a payment link.
Why do I need categories and locations?
Categories (e.g. “Boat tours”) appear in the filters and menus on your site. Locations (e.g. “Cappadocia”) make sure the right products come up when a customer searches. You find both in the Products menu.
How many products can I add?
As many as you like, in every package.
3. Prices and discounts
Which pricing types can I use?
Depending on the product, you choose one of these pricing types:
| Pricing type | How it is calculated | Example |
|---|---|---|
| Per person | Price × number of people | Group tour, museum tour |
| Per group | One price up to the number of people you set; an extra-person fee above that | Private tour |
| Per vehicle | Vehicle price; if the group is larger than the vehicle, a second vehicle is added automatically (up to 4 vehicles) | Transfer, tour with a private vehicle |
| Per hour | Hours × price; you set the minimum and maximum hours | Boat by the hour, guiding |
| Package tour | Per person by room type | Cappadocia, 2 nights |
| On request | No price on the site; the customer sends a request | Groups and corporate jobs |
Can I give children a different price?
Yes, for per-person products and package tours. You add age ranges: for example, ages 0–6 free and 7–11 half price. The customer chooses each child’s age when booking and the price is worked out automatically. Children older than the last age limit pay the adult price, and every booking needs at least one adult.
Is there a child discount with per-group or per-vehicle prices?
No. With these types the price is for the group or the vehicle, so age makes no difference.
My summer and winter prices are different. What should I do?
In the tour’s “Seasonal prices” section, enter a date range and a percentage: for example, 20% more from June to August and 10% off from November to March. For hotels, villas and boats you enter the nightly or daily price for the season directly.
How do I add extras (hotel pickup, lunch), and how are they priced?
Add them with a name and price in the tour’s “Extras” section; the customer picks them when booking. An extra is charged once per booking; for per-vehicle products it is multiplied by the number of vehicles.
How do I create a discount code?
Sales and marketing → Discount codes → “New code”. You choose a percentage or fixed amount, the valid dates, a total usage limit, “once per customer”, a minimum basket value and which products it applies to. The customer types the code on the payment page.
Can I give a hotel reception or a guide their own code?
Yes. Create a separate code for each; the list shows how many times each code was used and how much it sold. If you would rather pay commission, see the “Referral partners” feature (in the Marketing section).
Can I give sub-agents different (net) prices?
Yes, with price groups. You give each group a discount rate; a logged-in sub-agent sees its own net price. Details are in the “Sub-agents (B2B) and back office” section.
Can I see every setting that affects the price in one place?
Yes. The “Price summary” page lists every setting that changes what a customer or sub-agent pays, one sentence each; “Change” takes you to where that setting lives.
Which currency do I enter prices in, and which currency does the customer see?
You enter prices in the currency you chose under Settings → Company, region and rates. Visitors pick one of 30 currencies on the site and see prices in their own currency; rates are updated every working day from official sources.
4. Dates, days and capacity
How does the customer pick a day?
For a day tour, from the calendar; only days when the tour runs, that are not closed and that still have room can be chosen. For a package tour there is no calendar: the departure dates you entered appear in a list grouped by month.
My tour only runs on certain days. How do I set that?
In the tour form, untick the days it does not run under “Working days”; customers cannot choose those days.
How do I close dates for a holiday week, such as Easter or Christmas, or for my own time off?
Bookings → Calendar and closures → “Close dates”. Choose the start and end date and which product to close, then press “Close”. You can also click a day in the calendar and close it from there.
Is daily capacity counted in people or in groups?
In groups. For tours it sets how many bookings (groups) you take per day; for transfers, how many vehicles go out. Leave it empty for no limit. The number of people in one booking is limited by the product’s “Maximum people” field. For package tours, capacity is the number of seats on each departure date.
How do I stop last-minute bookings?
Enter a number of hours in “Minimum notice (hours)” in the tour’s “Advanced” section; with 24, for example, tomorrow’s tour cannot be booked this evening.
Can I ask the customer for a pickup address and time?
Yes. Turn on “Ask for pickup time and address” on the tour; the customer then has to enter their hotel or address and a start time (for transfers, the flight’s landing time) on the payment page. When it is off, the address field stays optional. You enter the exact pickup time when you confirm the booking, and it reaches the customer in the confirmation e-mail.
Do sales by phone or from GetYourGuide count against capacity?
Yes. Every booking you enter in the panel (phone, WhatsApp, GetYourGuide, Viator or uploaded by CSV) goes into the calendar and comes off that day’s capacity, so the site never oversells the same day.
How do I set times and seats for events?
In the event’s “Sessions and capacity” section, add the date, session time and ticket capacity. Tickets cannot be sold until a session is added.
Do I enter repeating dates like “every Friday” one by one?
Not for package tours and events: with “Every … in a date range” you choose the first and last date and the weekdays, and add them all at once. For day tours you don’t need to enter dates; the working days are enough.
5. Package tours (tours with accommodation)
How do I set up a package tour?
Open the tour in Products → Tours and turn on the “Multi-day tour with nights” switch in the Price section. Fields appear for the number of nights, room prices, children’s prices, hotels, departure points and extra nights. After saving, add the departure dates; the tour cannot be sold until it has dates.
How do I enter the prices?
Per person, by room type: “Double room”, “Single room” and “In a triple room”. A room type you leave empty is not sold.
Where do I enter the single supplement?
There is no separate supplement field. Enter the total per-person price for a single room in the “Single room” box. For example, if a double room is €300 per person and the single supplement is €90, enter €390 in “Single room”.
Can a customer travelling alone book at the double room price?
No. The customer doesn’t choose a room type but how many adults stay in each room. With 1 adult in a room the single price applies automatically, with 2 the double price and with 3 the triple price. If the “Single room” price is empty, a customer travelling alone cannot book that tour.
How does the customer choose rooms and people?
They choose the number of rooms and set up each one: 1–3 adults, up to 2 children and no more than 4 people in total per room. You decide the maximum number of rooms per booking (5 by default).
How do children’s prices work?
In the “Children’s prices (sharing with adults)” section you enter age limits and prices; for example, ages 0–1 free, 2–6 €90 and 7–11 €150. The customer chooses the child’s age. A child older than the last limit pays the adult price for the room type they stay in.
What if 1 adult and 1 child share a room?
The adult pays the single room price and the child pays the children’s price for their age.
Can I let customers choose a hotel?
Yes. Add several hotels under “Hotel options”. The first hotel is the default; for the others, enter a per-person difference, or a negative amount for a cheaper hotel. Children who travel free pay no hotel difference. The difference varies by hotel, not by room type.
Can I offer departures from different cities?
Yes. Add cities or pickup points under “Departure points” and enter a per-person difference for each (0 if there is none). The customer picks from the list and the difference is added to the price.
Can I sell extra nights before or after the tour?
Yes. In the “Extra nights” section, enter the per-person nightly price by room type, the children’s price and the maximum number of nights you sell. If the maximum is 0, no extra nights are sold.
How do I enter departure dates and seats?
In the tour’s “Departure dates and seats” section, add a single date, or repeating dates with “Every … in a date range”. Each date has its own number of seats; a full date shows “Sold out” on the site, and when only a few seats remain a notice such as “Only 3 seats left” appears.
I want a higher price for Easter week. Can I do that for just that date?
Yes. Enter a “Price change” on that departure date; it applies per adult. Seasonal prices (percentages) also work for package tours.
What does “Guaranteed departure” mean?
You mark dates that will not be cancelled because enough people have booked; the site shows “Guaranteed” next to the date, which gives customers confidence.
What happens if the minimum number of participants is not reached?
If you fill in “Minimum participants” and “Cancel if too few, days before”, this condition appears in the pre-information form and the contract, as the regulations require. You decide whether to cancel the tour; you then cancel the bookings in the panel and make the refunds.
Are the package tour contract and pre-information form automatic?
Yes. The customer accepts both before paying; the contract is attached as a PDF to the first e-mail after payment. You add your own clauses in the contract tab under Products → Product settings.
Can a customer cancel a package tour themselves?
Not after payment; package tours are cancelled by you, under the terms of the contract. The customer writes to you, and you cancel in the panel and choose the refund amount.
Can I get a passenger list for a departure date?
Yes. With “Passenger list” next to each departure date you download everyone travelling on that date, with their room arrangement.
6. Transfers, hotels, villas, boats, cars, events, visas, flights
How do I add a transfer? Do I enter the return trip separately?
First add airports, ports and areas in Products → Locations. Then, in Products → Transfers, choose the pickup and drop-off points and enter the per-vehicle price and vehicle capacity. A route counts in both directions, so you don’t need to add the return.
What if the group is too big for one vehicle?
With per-vehicle pricing a second vehicle is added automatically and the price is worked out for two vehicles. For more than four vehicles, the customer sends a request.
How do I enter hotel room types and prices?
Add and save the hotel in Products → Hotels, then use “Add room type / unit” to enter each room type’s name, how many rooms there are, the nightly price, how many people the price includes and the maximum number of people. For a season, you enter a separate nightly price with a date range.
Can rooms come with options like breakfast or half board?
Yes. Meal plans come from the Hotels tab in Product settings; you can also make a list just for one hotel. The price is added per person per night; enter 0 and it counts as included.
Will I double-sell rooms that are also on Booking.com or Airbnb?
No. Paste that site’s iCal link into the “Calendars of other channels” section of the room, villa or boat; dates booked there close on your site automatically.
Can I set a minimum stay, a weekend price and a damage deposit for villas?
Yes. You enter the minimum number of nights, the Friday–Saturday price, a cleaning fee (charged once per unit) and a damage deposit. The deposit is paid on arrival; the site shows it for information.
Is boat rental priced by the day or by the hour?
Either. For day rental, enter a daily price; for hourly boat tours, an hourly price with minimum and maximum hours.
Can car rental have different pickup and return points?
Yes. You enter pickup and return points (each with a fee per booking) and a one-way fee for returning the car somewhere else.
Can I sell different ticket types (adult, student, VIP) for an event?
Yes. Each ticket type has its own price. The customer gets an e-ticket with a QR code; at the door you scan it with your phone on the panel’s “Ticket check” screen. You can also mark tickets as non-refundable.
How do I sell a visa service?
In the Visa module you enter a service fee per application; you can include the consulate fee in the price or show it separately. After paying, the customer uploads their documents and you follow their status in the panel.
Can I sell flight tickets?
Yes. Connect your own Duffel account and live fares from hundreds of airlines appear on your site with your own markup; the ticket is issued automatically after payment.
Can I sell wholesaler hotels as well as my own?
Yes. Connect your Hotelbeds, RateHawk or Paximum account and sell those hotels with your own markup; the booking is made in your account and the voucher goes out automatically.
How do gift vouchers work?
A customer buys a gift voucher on your site and the voucher code goes to the recipient. The recipient spends it by entering the code on the payment page.
What do I do for jobs without a fixed price (coaches, ferries, groups)?
With the “Requests” module the customer writes what they need; you send a quote and a payment link from the panel.
7. Payments, deposits, cancellations and refunds
Who receives customer payments?
You do, directly. You connect your own payment account; we are not in between and take no commission on sales.
Which payment providers does it work with?
iyzico, PayTR, Sipay, Param, Craftgate, Stripe, Mollie and the virtual POS of 10 Turkish banks (Garanti BBVA, İş Bankası, Akbank, Ziraat, Halkbank, VakıfBank, QNB, Denizbank, TEB, Şekerbank). You add them under Settings → Payment methods.

Can I take a deposit and collect the rest later?
Yes. Turn on “Booking with a deposit” in the product’s “Advanced” section: the deposit can be a percentage or an amount per person, and you set how many days before the tour date the balance is due. 3 days before the due date, the customer automatically gets a payment link for the balance; if it is not paid, they get one more reminder.
What if I receive the balance in cash or by bank transfer?
Mark the payment as received on the booking; with the back office on, it is also written to the right cash or bank account.
Where do I set the free cancellation period?
For all products, in Products → Product settings; for a single product, in its “Cancellation and confirmation” section. Enter hours for tours and days for hotels and villas; 0 means no free cancellation. Your “Cancellation and refund policy” page is written from these settings automatically.
Can customers cancel their own booking?
Yes, within the free cancellation period, from the booking page or their customer account. After payment, customers cannot cancel package tours, flight tickets, wholesaler hotels or non-refundable event tickets; you cancel those.
How do I make a refund?
On the booking, press “Cancel” and choose the refund amount and method. With Stripe, the refund goes back to the card from here in one click. With other providers, make the refund in the provider’s panel and mark it as refunded on the booking; until then the booking stays in the “Refunds pending” list, so it is not forgotten.
What if a customer stops halfway through payment?
After the time you choose (30 minutes to 3 hours) they get a “Your place is still available” e-mail, and a WhatsApp message if you have a template. Nothing is sent if the place has gone; if they come back with the old link, availability is checked again.

Yes. In Bookings → Other channels you can add them one by one or upload the CSV list you download from the channel’s panel; uploading the same booking again does not create a duplicate. 9. Site design, languages and currencies
Can I change how my site looks myself? Do I need code?

Yes, with “Affiliates (commission)”. You give each partner their own link; they earn the commission you set on every paid booking that comes through it and follow their earnings on their own page.
Does selling gift vouchers help with marketing?
Yes. Gift vouchers sell well on your site, especially around Christmas, New Year and other holidays, and the recipient spends the voucher on your tours.
11. Sub-agents (B2B) and back office
Can I sell to my sub-agents at net prices?
Yes, in every package. Add the sub-agent under Sales and marketing → Sub-agents (B2B) and choose its price group; the group’s discount sets the net price (new sub-agents start in the “Standard” group). The sub-agent’s users get an invitation; once logged in, they see their own net price in the booking box.
Can a sub-agent book now and pay later?
Yes. A sub-agent you allow can book on account up to the limit you set. They see their open balance in their own panel; when you receive their payment, you mark it in the panel.

A separate B2B address for sub-agents that is closed to the public (b2b.yourcompany.com), applications and approval, separate discounts by module and category in price groups, current accounts with credit limits and card top-ups, vouchers with the sub-agent’s own logo, and wholesaler hotels and flights sold at sub-agent prices.
I only sell to sub-agents and don’t want a customer site. Is that possible?
Yes. Turn on the “B2B only” switch in B2B Pro and your site’s address becomes the partner login: visitors see only the partner login and the application form, public booking is closed and search engines no longer see the site.
What is the back office, and which package has it?
A bookkeeping and operations area covering cash, bank and expenses, supplier accounts, booking costs and profit, operation sheets, guide and driver fees, and a document archive. It comes with the Pro and B2B Pro packages.
Does the back office replace my accounting software?
No. It shows where money comes from and where it goes, who you owe what, and what each tour earns. For official books and tax returns you keep working with your accountant; invoices can be issued automatically through Paraşüt (a Turkish invoicing service) and reports export to Excel.
Do I have to enter payments from the site separately?
No. Card payments taken on the site are written to the “Online payments” account automatically.
How do I keep track of what I owe suppliers?

Can I see what each booking earns?
Yes. Add hotel, vehicle, guide and ticket costs to the booking and the profit and margin show at once. There are profit reports by month, product and module.
How are guide and driver fees worked out?
The days each person worked and their number of jobs in the month come from completed bookings automatically. You enter the fee per job once; the fee is written to their account in one click. The same month cannot be written twice.
How do I send rooming and transfer lists?
Choose a day in Operation sheets; lists per driver, guide and hotel are ready. Download a PDF or send a list straight to the right person with the WhatsApp button.
Who in my team can see the back office?
Only users with the Admin or Accounting role see the money pages. The operations team sees only the operation sheets.
12. Subscription, team, security and data protection
Which packages are there?
There are four: 3 Modules (three product types of your choice), Unlimited (all modules), Pro (Unlimited + back office) and B2B Pro (Pro + the sub-agent system). Current prices are in the Plans section of the home page; pay yearly and you pay for 10 months, with 2 months free.
What is the founder customer discount?
The first 15 agencies pay 25% less than the plan price, and that price stays the same for as long as the subscription runs. The discount is applied automatically when you sign up.
Do you take a commission on my sales?
No, we take no commission on any sale; you pay only a fixed monthly fee. There is no setup fee either.
Will the price go up later?
The price you subscribe at stays the same for at least 12 months.
Can I change packages?
Yes, any time from the My account page.
What happens if I cancel? Is my data deleted?
You cancel in one click. Your site stays open until the end of the period you paid for; after that your data is kept for 30 days, so you can come back or take a backup. Then it is deleted for good.
Can I get my money back if I’m not happy?
You can ask for a refund within 14 days of your first payment.

When an agency that came through your invite link makes its first payment, your next monthly payment is refunded to you. The new agency also gets half of its first month back.
Can I create separate users for my team?
Yes. There are Admin, Operations, Accounting, Content and Guide / driver roles; each role sees only its own work. When the season ends, you can pause a user’s access in one click. The 3 Modules package has 3 users; the others have no limit.
Can I see who changed what?
Yes. The activity log shows who changed what and when, along with logins and failed password attempts.
How secure is my panel?
Each agency has its own database and encryption key. You can turn on two-step login (Google or Microsoft Authenticator) and make it mandatory for the whole team. Backups are taken every night.
Can you see my customers and bookings?
No. If we need to enter your panel for support, you give permission, and that permission lasts 24 hours at most.
Does my site comply with KVKK and the GDPR?
The privacy notice, cookie policy, cookie consent, request form and deletion of data past its retention period come ready. In Turkey the texts follow KVKK (Turkish data protection law), outside Turkey the GDPR; if you host guests from the EU, you can also turn on the GDPR section. You are the data controller, so registrations such as VERBİS (Turkish data controller registry) and İYS are yours. The texts are templates; we recommend having your lawyer check them.
Where is my data stored?
On servers in Turkey, in a database reserved for you.
How do I get support?
Open a written request in the panel under Help → Platform support; you can attach screenshots and PDFs. The answer arrives in your panel and your e-mail within 1–3 working days. There is no phone support.
What if I want a feature or integration that is not on the list?
Write to us with a support request. If it can be done, we send a written offer with the scope, price and delivery time; nothing is charged unless you accept and pay.
